Launch a Monday Project + Sync to Google Calendar

Prereqs

  1. You have access to the New Reach portfolio in Monday (sidebar). If you don’t, ask Austin or Miguel.
  2. You know which template to use: Performance lever vs Fulfillment event vs Leadership (rocks).

Workflow (checklist)

  1. Then click Convert and add. The row will become conditionally formatted until you fill required fields.
    1. Event date(s): select the webinar day (single day) or multiple days.
    2. Owner: typically the creator.
    3. Brand, Priority, Status (Upcoming / In progress / Completed).
    4. Type: Performance lever / Fulfillment event / Marketing campaign / Leadership.
    5. Plan timeline: when planning starts → through final event day.
    6. Description: becomes the Google Calendar description (add context).
    7. Category and Teams: pick all relevant teams.
  2. This is a workaround to avoid filling timelines for every task; it drives the portfolio “Actual timeline”.
  3. A calendar link should appear in the row; open it to verify title + description + back-link to the Monday project.

Setting times in Google Calendar

  1. Single-day: Edit event → turn off All day → set start/end time → Save.
  2. Multi-day (with a specific time window each day):
    1. Edit the event and set the date to the start date only with the correct time window.
    2. Set Custom repeat → Every day → Ends on the final date.
    3. Save — it should appear on each day at the correct times.

0) Prereqs
  1. Confirm you can see New Reach portfolio in Monday sidebar (else ask Austin/Miguel).
  2. Know which template folder you’re using: Performance lever / Fulfillment event / Marketing campaign / Leadership.
1) Duplicate the correct project template board
  1. In the template folder, open the right template (ex: Brand Webinar Template).
  2. Click the ⋯ → Duplicate.
  3. Name it normally and select Duplicate board structure and items.
  4. Move the new board to the appropriate folder (ex: Subto Projects).
2) Add it to the New Reach portfolio
  1. Go to the New Reach portfolio and search/select your new board.
  2. Map columns: set Owner to Accountable (if present) otherwise use PM/Owner column.
  3. Click Convert and add and wait for “connected”.
3) Fill out the portfolio row until no cells are highlighted
  1. Set dates: single-day = click one date; multi-day = drag-select range.
  2. Assign Owner (usually the person creating the project).
  3. Select Brand + Priority + Status (Upcoming / In progress / Completed).
  4. Select Type: Performance lever / Fulfillment event / Marketing campaign / Leadership.
  5. Set Plan timeline: start planning date → end date (final day of the event).
  6. Fill Description (this is what appears on the calendar event too).
  7. Pick Category and the Teams involved.
  8. Actual timeline workaround: on the project board, set the first task timeline to cover the full project work window so it rolls up.
  9. If needed: add a Dependency (only if this event cannot happen without another).

4) Create/Update the Google Calendar event
  1. Click Add or Update on the portfolio row.
  2. Wait for the calendar link to appear; click it to confirm event name + description + board link.
5) Set times (single-day vs multi-day with times)
Single-day timed event
  1. Edit calendar event → turn off All day → set start/end time → save.
Multi-day event WITH specific daily times (ex: Mon–Thu 4–8pm)
  1. In calendar, set the event date to the start date only (not a multi-day range).
  2. Set start/end time (ex: 4pm–8pm).
  3. Add Custom repeat → Every day → Ends on the final date.
  4. Save — it should create a daily timed event for each date.
